Let's talk

Customised CRM for small businesses and startups

For businesses that run sales from a spreadsheet and WhatsApp, where a follow-up gets missed whenever the person who remembers it is on leave.

An older man with white hair and glasses writes in a small notebook at a table in a dim room, a water bottle and a folded cloth beside him.
A notebook is a fine CRM until two people need it at once.

The short version

A custom CRM for a small business that's outgrown its spreadsheet and doesn't want to pay per user for years. You pay once for the build, and the CRM and its customer data are yours.

Who it's for
Businesses whose sales have outgrown the spreadsheet, and teams paying per seat for a ready-made CRM they keep working around.
What you get
Your pipeline, customer records and follow-up reminders in one place, with a login for each person. It connects to your website, WhatsApp and automations, so enquiries land in it on their own.
How it's priced
A fixed quote for the build, paid in milestones. Hosting then runs on your own account at the provider's price, with no per-user fee from us.

What goes into it

A small clay desk in shades of blue under a window: stacks of paper, a phone, a brass bell and a glass of chai, box files on the shelf, a steel tiffin, and sticky notes on the wall saying call back and GST by 20th.
A call-back on a sticky note, quotes in a pile, the bills in a box file. A CRM keeps all of it on one page per customer.
  • Your pipeline

The stages a lead goes through, from first enquiry to paid, named the way your team names them.

  • One page per customer

Calls, WhatsApp messages, quotes and orders on one record, so whoever picks up the phone sees the history.

  • Follow-up reminders

A nudge to the right person when a quote goes unanswered or a call-back is due.

  • Logins and roles

A login for each person, so nobody shares a password or keeps their own copy of the sheet.

  • Reports

Enquiries this month, where they came from and how many became orders, straight from the records.

  • On a phone

It opens in a phone's browser, so a lead can be updated from a site visit or the shop floor.

Connected to what you already run

The website form and WhatsApp both write to the same customer record, and the automations read from it to send the follow-up and build the weekly report.

A website enquiry arrives as a new lead with the page it came from, and a WhatsApp message lands on that customer's record. Your AI assistant's chats and hand-overs are saved there too.

The automations read from it: an unanswered quote gets a follow-up, and the weekly report makes itself.

Why pay once instead of per user?

Above, a subscription billed month after month. Below, the build paid for once, then hosting on your own account.

Most ready-made CRMs charge for each person, every month, for as long as you use them. That's fair for plenty of businesses, but the bill grows each time someone joins sales.

A customised CRM is paid for once, on a fixed quote, and a new salesperson just gets a login. The plan lists the running costs, like hosting, before you agree to anything.

Yours, with the customer data in it

The accounts are opened in your name on day one, so the records can leave whenever you want them to.

Once the build is paid for, the code, the database and every customer record are yours. The accounts are in your name from day one, so you can take the records anywhere without asking us.

How a CRM project runs

How a project runs: a call, a written plan with a fixed quote, a short demo every week so nothing comes as a surprise, the hand-over, and care afterwards if you'd like it.
  1. Map

A 30-minute call, then a written plan and a fixed quote within two working days, beginning with how a lead moves today, WhatsApp included.

  2. Build

Pipeline and customer records first, so your team can try them on real leads, then reminders and reports. A short recorded demo every week.

  3. Connect

Contacts come across from the sheet or old CRM with duplicates merged. Then the website form, WhatsApp and automations are wired in and tested.

  4. Hand over

A walkthrough for the people using it, notes for whoever looks after it, and 30 days of free fixes after launch.

When is a ready-made CRM enough?

One or two notes like these and a ready-made CRM is still fine. When they keep piling up, that's when building one makes sense.

If one or two people sell and the pipeline is simple, a ready-made CRM on a small plan, or a well-kept sheet, may be all you need. We'd say so.

Build one when the ready-made CRM keeps making you work around it: a field you can't add, a stage it doesn't have, a seat paid for just to see a report.

After it's running

Roughly what the first year after launch looks like. The first 30 days of fixes are on us. After that, care is monthly, and you can stop it whenever you like.

A CRM changes as the business does, like a second branch or a new view for someone. We stay on, so whoever adds the second branch to the CRM usually built it.

Questions we get asked

Can you bring our contacts across from Excel or our current CRM?

Yes, from a spreadsheet or any CRM that exports to a file, which most do. We merge duplicates, tidy numbers saved three ways, and bring notes and call history as far as the export allows.

Who can see which customers?

You decide, by role: often each salesperson sees their own leads, a manager the team's, and the owner everything. When someone leaves, you switch off their login and pass their leads on.

Can it send and receive WhatsApp messages?

Yes, through the WhatsApp Business Platform on your own number, with messages landing on the customer's record. Meta charges for some business messages, on your own account at Meta's price.

What does a custom CRM cost to run after the build?

Hosting and a database, billed by the provider to your own account, plus Meta's charges for any WhatsApp messages. The optional care plan is the only monthly bill from us.

Can we change it once it's in use?

Yes. Small changes like a new field come under the optional care plan, and bigger ones, like a second pipeline, get a written quote first.

What happens if you're not around one day?

Another developer can take it over, working from the notes we leave at hand-over. Everything they'd need to log in to is already in your name.
